Privacy Policy

1. Information we collect

When you fill out a quote request, contact form, or any other form on this site, we may collect:

• Your full name
• Your phone number
• Your email address
• Your property address (street, city, state, ZIP)
• Project photos you choose to upload (e.g., images of roofs, gutters, garage floors). EXIF metadata is stripped from photos before upload, so GPS coordinates from your phone are not transmitted.
• Project details you provide — service type, timeline, size, budget range, and any free-form message.
• SMS consent (TCPA checkbox state + timestamp).
• Marketing attribution data — UTM parameters, referrer, Facebook/Google click IDs, page you landed on. This helps us understand which advertising campaigns work.
• Technical data — IP address, browser user-agent, timestamps. Used for spam prevention and rate limiting.

We do not use cookies for tracking unless you encounter a cookie banner; we do not knowingly collect data from children under 13.

2. How we use your information

We use the information you provide only to:

• Respond to your inquiry and provide estimates
• Schedule and perform requested services
• Follow up about your project (call, text, or email)
• Improve our website and advertising effectiveness
• Detect and prevent fraud, spam, and abuse
• Comply with legal obligations

We do not sell your personal information. We do not share your contact details with unrelated third parties for their marketing purposes.

3. Where your data is stored and processed

Form submissions are processed and stored by the following service providers acting on our behalf:

• Netlify — hosts the website and the Netlify Forms service that captures and stores submissions. See Netlify's privacy policy.
• Cloudflare — provides Turnstile bot protection on our forms. See Cloudflare's privacy policy.
• Google Maps — powers address autocomplete on certain forms. See Google's privacy policy.
• Our internal CRM / lead-management system (currently a Zapier-connected workflow). Used by our staff to manage estimates and follow-up.

These providers act as data processors. We don't allow them to use your information for their own marketing.

4. How long we keep your data

• Quote requests from non-customers: retained for up to 24 months, then deleted from our active systems.
• Active and past customer records: retained for up to 7 years after the last project (for warranty servicing, insurance-claim coordination, and tax/accounting purposes).
• Marketing attribution data: aggregated after 13 months; individual records purged.
• Photos you upload: retained alongside the project record under the same schedule as the lead/customer record. If you would like them deleted earlier, see Section 6.

5. SMS communications (TCPA)

When you check the SMS-consent box on any of our forms, you agree to receive text messages from Exotic Exteriors Company LLC at the phone number you provided. Message and data rates may apply. Message frequency varies based on your project stage. Consent is not a condition of purchase.

To opt out, reply STOP to any of our messages. For help, reply HELP. You can also email info@exoticexteriors.org to opt out at any time.

6. Your rights

You may, at any time:

• Request a copy of the information we hold about you
• Request correction of inaccurate information
• Request deletion of your information (subject to legal retention)
• Opt out of marketing communications

To exercise any of these rights, email us at info@exoticexteriors.org with the subject line “Privacy request.” We'll respond within 30 days.

7. Security

We use industry-standard measures to protect your information, including HTTPS encryption in transit, signed webhooks, server-side rate limiting, bot protection, and input validation. No system is 100% secure, but we take reasonable steps to prevent unauthorized access and disclose promptly if a breach affecting you is detected.

8. Changes to this policy

If we change this policy materially, we will update the “Last updated” date at the top and post the revised version here. Your continued use of the site after a change constitutes acceptance.
